    *time (approximately 20 hours per week) Office Specialist 1 position in the Ship Operations Unit at Oregon State University (OSU).
This position will be located in Newport, Oregon.
This Office Specialist 1 position provides operational administrative support to the Ship Operations unit with the College of Earth, Ocean, and Atmospheric Sciences, and works closely with the Finance group within the Forestry, Oceanic and Atmospheric Business Center (FOBC).
This position provides accounting support, serves as receptionist, provides grant reporting assistance, provides website support, maintains databases and performs mailings, and provides other support activities as needed.
This position works cooperatively to organize efficient office practices, coordinate requests from Ship Operations personnel, and develop a system that supports the administrative and maritime support functions of the office.
Position tasks 10% – Performs complex technical tasks in support of research, including:
     » Compiles provided data; edits and manages documents, and proofreads various documents.   » Maintains Oregon State University (OSU) Pier use database.   » Assists in the scheduling of VAN (portable labs) use for scientific parties as required.   » Prepares and submits reports to UNOLS (University
    *National Oceanographic Laboratory System) as required.   » Maintains and assists in updating Ship Operations manuals such as Ship Time Requests (STR\\\'s), SOPEP (Shipboard Oil Pollution Emergency Plan) Binder, and ISM (International Safety Manual) Binder.   » Maintains post cruise assessment records for all cruises on the Research Vessel (R/V) Oceanus.5% – Serves as backup to the Ship Ops Coordinator tasks, including but not limited to:
     » Schedules Elakha and Pacific Storm Cruises as required.   » Schedules use of the RHIB (Rigid Hull Inflatable Boat) as required.   » Enters and updates cruise information, crew training and licensure in Access Database.   » Distributes cruise plans; berthing plans and works with Elakha and Pacific Storm Captains to verify scheduling.   » Provides backup to serve Ship Ops inquiries on the phone, by e
    *mail, or walk
    *ins.70% – Finance Job responsibilities:
     » Receives invoices, receipts and bills and routes for processing.   » Codes invoices with appropriate index, activity and account code, obtains appropriate signatures and submits to FOBC for further processing.   » Maintains billing and payment processing records and logs.   » Initiates and tracks purchase orders related to Ship Operations invoices; researches past due invoices and follows up with vendor/FOBC as needed.   » Upon receipt of checks, matches them to correct invoice, prepares deposit slips and finalizes payment records.15% – General Office Support:
     » Receives incoming campus and US mail and prepares for distribution.
Routes mail and packages to appropriate Ship Operations and vessel personnel.
Assists department personnel with mailing process by determining appropriate and most effective method of delivery.   » Answers phones.   » Manages formatting and layout of grant proposal and reporting materials.   » Shares office workloads, cross
    *train and share information and expertise with office staff.   » Contributes to general office maintenance and tidiness chores, such as office and reception areas, workroom, meeting rooms, lunchroom, etc.   » Participates in meetings and training opportunities as directed.   » Keeps supply cabinets and storage spaces stocked and neat.   » Remains aware of the Ship Operations mission and all vessel and van needs, their activities and schedules.   » Completes other tasks as assigned.
Minimum Qualifications Completion of courses or training in Office Technology; OR One year of general clerical practice which included typing, word processing, or other generation of documents; OR An equivalent combination of training and practice.
Additional Required Qualifications Demonstrated excellence in communication expertise (both written and verbal).
Customer service practice.
Proven practice in operating independently and taking initiative.capability to execute multiple tasks at any given time with a high level of accuracy and attention to detail.capability to work with all levels of employees in a respectful and supportive manner.expertise of Microsoft Word and Excel, and similar database programs.

Working Conditions / Work Schedule This position works in a busy office and shipyard/machine shop environment, with a workstation near the building main entrance.
Disruptions are numerous.
The capability to lift items weighing up to 35 pounds and to go up and down stairs is required.
The required work schedule includes five, four
    *hour workdays to be scheduled consecutively between 8 a.m. and 5 p.m.
This position is deemed essential and the incumbent may be expected to report to work during inclement weather, emergency and other University work curtailments or closures.
